Operations Controller

Position: Full-Time
Job Overview:

The Operations Controller is responsible for overseeing the efficiency and effectiveness of all courier and linehaul routes, whether by air or road. This role involves managing the Express Cape Town Branch to ensure optimal operational and administrative performance, maintaining client standards, and ensuring cost-effective routing and consolidation of freight.

Key Responsibilities:

Hub Operations:

  • Manage freight according to client requirements.
  • Oversee vehicle debriefing, including PODs (Proof of Deliveries) and collections, and investigate missing PODs in coordination with the Operations Manager.
  • Supervise daily branch operations, ensuring timely departure and arrival of all vehicles.
  • Confirm that freight is collected and lodged with logistics partners as scheduled.
  • Ensure completion of driver checklists, vehicle inspections, and mobile phone allocations. Ensure that Express freight is dispatched by 7:45 AM.
  • Monitor parcel sorting in the warehouse, ensuring correct routing and manifesting of freight.
  • Verify that drivers carry valid Driver’s Licenses and PDPs (Professional Driving Permits) at all times.
  • Ensure drivers complete bi-annual DTA (Defensive Training Academy) training and manage medical certifications timely. Drivers must not operate without a valid license.
  • Confirm that drivers have the necessary documentation every morning and record this on the checklist.
  • Ensure that the floor and 1x1x1 reports are accurate. Regularly review billing and close PODs daily.
  • Complete and update statistics reports, and submit them to the Branch Manager.
  • Handle non-conforming items as per claims procedures, and take corrective actions to prevent future issues. Address all claims within 48 hours in collaboration with the National Operations Manager.
  • Report any client-related issues immediately to management.
  • Document and sign off on training sessions conducted with the Branch Manager, and submit these records to the National Operations Manager.

Air & Road Freight:

  • Manage airfreight operations in compliance with agreed standards.
  • Update flight schedules daily and ensure timely lodging of all freight.
  • Process incoming airfreight, ensuring it is cleared from the system upon arrival.
  • Complete all airfreight documentation promptly.
  • Manage incoming road freight similarly, ensuring timely processing and documentation.
  • Accurately complete all international and cross-border paperwork.
  • Ensure correct consolidation of freight for both air and road transport, including separate manifesting and direct flights as needed.

Freight Tracking:

  • Handle all network partner queries, including tracking and reconciliation of collections and deliveries.
  • Address issues related to misrouted parcels, missing shipments, and KPI failures, and report them to the Branch Manager promptly.
  • Action daily report inputs in a timely manner and resolve queries within 45 minutes.
  • Handle quotes efficiently and maintain accurate records for traceability and historical data analysis.

Client Liaison:

  • Receive and process collection requests via phone, entering them into Freightware and advising the relevant parties.

Position: Planning Supervisor
Job Type: Full-Time

Role Overview
As the Planning Supervisor, you will be responsible for managing the entire Key Warehouse division. Your role will involve ensuring that all operational and financial targets are met while supervising key warehouse activities.

Key Responsibilities

  • Efficient Planning: Develop and implement effective planning strategies to meet all business requirements and ensure compliance.
  • Workflow Management: Oversee and manage the planning workflow, maintaining control over all aspects of the process.
  • Route Optimization: Continuously improve existing routes and ensure optimal levels of efficiency are achieved. Utilize data to develop planning routes and implement new rules and processes.
  • Order Management: Handle all aspects of orders, deliveries, redeliveries, and special requests from external clients. Prepare detailed reports for management review.
  • Stakeholder Collaboration: Work closely with stakeholders to develop strategies and coordinate with the Hub to monitor the supply chain, addressing and resolving any issues.
  • Reporting and Analysis: Review and analyze all planning activities. Use the insights gained to recommend improvements in performance and work with route controllers to adjust strategies as needed.
  • Policy Evaluation: Assess and prepare recommendations for policy changes, ensuring alignment with business requirements.
  • Performance Maintenance: Ensure optimal performance levels within planning activities and adherence to all standard projects.
  • Training: Provide training to subordinates in the planning team on various systems and processes.
  • Process Analysis: Analyze the workings of the planning team and process requirements to ensure efficiency and effectiveness.

Minimum Qualifications 

Education: Grade 12 (Matric) is required.

Skills Required

  • Ability to complete forms relevant to your working area.
  • Proficiency in administrative procedures and use of necessary systems.
  • Capability to make basic inferences from customer usage patterns.
  • Competence in performing basic dispatch procedures under direct supervision.
  • Basic calculation skills to ensure accuracy in the distribution process.
  • Understanding and application of Health and Safety procedures relevant to your tasks.
  • Ability to identify hazards and manage them with appropriate guidance.
  • Skills to execute logistics tasks under general supervision.

Job Type: Full-Time

Purpose of the Role:
To repair vehicles and equipment that have been damaged in accidents.

Key Responsibilities:

  1. Job Analysis: Review the job card or quotation to determine the required repairs and parts needed.
  2. Damage Assessment: Examine the vehicle to confirm the list of parts to be ordered and identify any additional damage.
  3. Parts Management: Order and track the necessary parts, ensuring they are correct and undamaged. Ensure all parts destined for painting are sent to the paint shop.
  4. Vehicle Repair: Strip down and reassemble the vehicle, ensuring proper alignment and fitment of panels and parts. Maintain high repair standards throughout.
  5. Quality Check: Reinspect the vehicle to confirm all repairs meet high standards and ensure roadworthiness.
  6. Oversight: Supervise the assistant’s work, providing advice, assistance, and training as needed.
  7. Liaison: Communicate with the Foreman, Estimator, and Manager regarding repairs and progress.
  8. Cost Efficiency: Focus on cost-saving measures by repairing parts when feasible instead of replacing them.
  9. Maintenance: Take care of tools and equipment, keeping them in good condition. Maintain  productivity and efficiency at acceptable levels.
  10. Professional Conduct: Uphold a high level of professionalism and adhere to the company’s dress code and housekeeping standards.
  11. Health and Safety: Ensure adherence to Health and Safety standards in all aspects of the job.
