Requirements:
- Educational Background: A Matric certificate alongside a Secretarial Diploma or a NQF Level 5 qualification in Office Management and Public Administration.
- Experience: 0-2 years of work experience within an Executive Office or a similar environment.
- Skills: Proficiency in language and interpersonal communication, excellent telephone etiquette, advanced computer literacy, and strong skills in organization, writing, time management, communication, and conflict resolution.
Key Responsibilities:
- Serve as a professional secretarial support to the business unit, encompassing general office administration tasks such as managing telephone calls, handling queries, and liaising with key customers and stakeholders.
- Manage the diary of the HOD, including arranging and scheduling meetings, confirming appointments, preparing meeting agendas, and keeping records of meetings.
- Handle the logistics for meetings and workshops, including booking venues and managing virtual meeting setups.
- Conduct report writing and manage the procurement processes for the department.
- Ensure the safekeeping of all documentation in the office, adhering to relevant legislation and policies.
- Develop and manage a Registry for all incoming and outgoing documents to support the business objectives of the Department.
- Assist in fostering positive working relationships within the Human Settlement leadership structures.
- Exhibit proficiency in Microsoft Office applications such as Excel, PowerPoint, MS Word, and Outlook.
